Role Overview 

We’re hiring a Full-Time Virtual Assistant to serve as an operations and community anchor inside the business. 

This role is responsible for: 

  • keeping content, communication, and projects moving 

  • managing community engagement across platforms 

  • supporting internal execution across multiple clients 

  • ensuring nothing slips through the cracks 

You’ll work closely with the Leadership and  Creative Pods, and you’ll be expected to operate with ownership, clarity, and speed, without sacrificing quality. 


Primary Responsibilities (Daily / Weekly Core) 

Community Management & Engagement 

  • Manage DMs, comments, and replies across LinkedIn, Instagram, and other active platforms 

  • Maintain brand voice and tone in public-facing communication 

  • Moderate conversations, escalate client-sensitive issues, and surface opportunities/leads 

  • Track recurring FAQs, feedback, and engagement patterns for the team 

Social Media & Email Execution 

  • Upload, schedule, and publish approved content across platforms 

  • QA captions, hashtags, links, visuals, and timing before publishing 

  • Execute email broadcasts and sequences via Kit or similar tools 

  • Pull and organize performance data for weekly/monthly reporting 

Project & Task Coordination 

  • Assign tasks to designers, video editors, and copywriters 

  • Track deadlines, follow up on overdue items, and keep boards current 

  • Maintain content calendars, delivery trackers, and approval workflows 

  • Support campaign rollouts and sprint execution 


Automation & Systems Support 

  • Execute and maintain existing automations across tools (email, forms, scheduling, task workflows) 

  • Assist with workflow automation setup using tools like Zapier, Make, or native platform integrations (based on SOPs and direction) 

  • QA automations regularly to ensure triggers, sequences, and notifications are firing correctly 

  • Update automations when campaigns, offers, or workflows change 

  • Document automation flows and flag gaps or inefficiencies for improvement 

  • Coordinate with the Project Manager or Automation Lead on higher-level system builds 


Quality Assurance & Standards 

  • Own first-line quality assurance on all scheduled content, emails, dashboards, trackers, and client deliverables 

  • Verify accuracy, formatting, links, naming conventions, and brand alignment before submission or publishing 

  • Ensure all work meets internal SOPs and “No CEO Touch” standards before being marked complete 

  • Proactively flag inconsistencies, gaps, or risks before they reach leadership or clients 


Judgment, Ownership & Escalation 

  • Operate with discretion and ownership in day-to-day execution 

  • Independently resolve issues that fall within scope before escalating 

  • Escalate issues that impact deadlines, client satisfaction, or brand reputation 

  • When escalating, provide clear context and at least one proposed solution  


Operations & Admin Support 

  • Organize digital assets, folders, files, and naming conventions 

  • Support client onboarding (forms, access, assets, setup) 

  • Take meeting notes and send action-item follow-ups 

  • Keep documentation, trackers, and internal systems clean and up to date  


Secondary Responsibilities (As Needed) 

  • Light research (competitors, trends, audience insights) 

  • CRM upkeep and list organization 

  • Supporting hiring logistics (posting roles, scheduling interviews, onboarding steps) 

  • Assisting Leadership with overflow execution during heavy weeks 


Must Haves 

  • Proven LinkedIn experience (posting, engagement, community management) 

  • Strong working knowledge of Microsoft 365 (Teams, Outlook, Planner, OneNote)

  • Hands-on experience with email tools (ConvertKit or similar) 

  • Exceptional organizational skills — you naturally create order 

  • Clear, professional communication (written and verbal) 

  • Strong attention to detail — you catch issues before they ship

  • Ability to work in a fast-paced environment without compromising quality

 The Details

Standard working hours are 9:00 AM – 5:00 PM WAT.

As a sprint-based agency, there may be times where projects require short-term flexibility outside normal hours. We value balance, but we also value ownership and follow-through when it matters most.
