Role Overview 

We're hiring a Full-Time VA to serve as the operations and community anchor for The Plugs IO. This role keeps content, communications, and projects moving, while managing community engagement across platforms and supporting internal execution across multiple clients. 

You'll work closely with Leadership and the Creative Pods. You're expected to operate with ownership, clarity, and speed, without sacrificing quality. Nothing should reach leadership that you could have handled, and nothing should slip that you were responsible for tracking. 

Primary Responsibilities 

Community Management & Engagement 

  • Manage DMs, comments, and replies across LinkedIn, Instagram, and other active platforms 

  • Maintain brand voice and tone in all public-facing communication, confident, premium, clear 

  • Moderate conversations, escalate client-sensitive issues, and surface engagement opportunities or leads 

  • Track recurring FAQs, feedback trends, and audience patterns, report insights to the team 

Social Media & Email Execution

  • Upload, schedule, and publish approved content across platforms, QA captions, hashtags, links, visuals, and timing before publishing 

  • Execute email broadcasts and sequences via ConvertKit or similar tools 

  • Pull and organize performance data for weekly and monthly reporting 

  • Ensure published content matches approved versions exactly, no unauthorized edits 

Project & Task Coordination 

  • Assign tasks to Creatives, track deadlines, follow up on overdue items, and keep boards current in Microsoft Planner 

  • Maintain content calendars, delivery trackers, and approval workflows 

  • Support campaign rollouts and sprint execution, coordinate handoffs and flag risks early 

Automation & Systems Support

  • Execute and maintain existing automations across tools: email, forms, scheduling, and task workflows 

  • Assist with automation setup using Zapier, Make, or native platform integrations based on SOPs and leadership direction 

  • QA automations regularly to ensure triggers, sequences, and notifications are firing correctly 

  • Update automations when campaigns, offers, or workflows change, document all changes 

  • Flag gaps, inefficiencies, or broken flows to the PM or Automation Lead before they cause downstream problems 

Quality Assurance & Standards 

  • Own first-line QA on all scheduled content, emails, dashboards, trackers, and client deliverables 

  • Verify accuracy, formatting, links, naming conventions, and brand alignment before submission or publishing 

  • Ensure all work meets internal SOPs and "No CEO Touch" standards before being marked complete 

  • Proactively flag inconsistencies, gaps, or risks before they reach leadership or clients 

Judgment, Ownership & Escalation 

  • Operate with discretion and ownership in day-to-day execution, resolve within scope before escalating 

  • When escalating, provide clear context and at least one proposed solution, never escalate empty-handed 

  • Escalate issues that impact deadlines, client satisfaction, or brand reputation immediately 

Operations & Admin Support 

  • Organize digital assets, folders, files, and naming conventions across SharePoint and OneDrive 

  • Support client onboarding: forms, access provisioning, asset collection, and setup coordination 

  • Take meeting notes and distribute action-item summaries 

  • Keep documentation, trackers, and internal systems clean and current 

Secondary Responsibilities (As Needed) 

  • Light research: competitors, trends, audience insights 

  • CRM upkeep and list organization 

  • Supporting hiring logistics: posting roles, scheduling interviews, onboarding coordination 

  • Assisting Leadership with overflow execution during heavy sprint weeks 

What This Role Requires 

  • Proven LinkedIn experience: posting, engagement, and community management 

  • Strong working knowledge of Microsoft 365: Teams, Outlook, Planner, OneDrive, SharePoint 

  • Hands-on experience with email tools: ConvertKit or similar 

  • Exceptional organizational skills, you naturally create order and maintain it 

  • Clear, professional written and verbal communication 

  • Strong attention to detail, you catch issues before they ship 

  • Ability to manage multiple clients and projects simultaneously without dropping accountability

This is not a personal assistant role. Not strategy-setting or creative direction. Not random task execution with no context.  This is an operations and community execution role with real responsibility, real visibility, and a high bar for quality. You will be expected to own your lane, protect the standard, and make the machine run.
